What does a coordinator do? 

Our coordination packages have various levels of service.

But in general, a wedding coordinator...

  • Meets with you 1-2 months before your event

  • Gets to know you, your partner, and your wishes for your day.

  • Has awareness of religious & cultural traditions, language barriers, and personal wishes

  • Contacts, confirms, & connects vendors. Has all vendor information in 1 place.

  • Answers last-minute vendor questions (parking, logistics, timeline, facility amenities, etc.)

  • Creates & understands your master timeline and shares with venue/vendors/staff

  • Rehearsal dinner coordination

  • Day-of on-site event management (may include multiple locations)

  • Acts as point-of-contact for all vendors, guests, and venue staff

  • Ensures event stays on timeline, or finds ways or "catch up" if event has fallen behind.

  • Directs guests, family & vendors during transitions (ceremony, cocktail, reception, exit)

  • Emergency kit & in-the-moment problem solving

  • Final vendor wrap-up

  • Extra set-up, tear-down & clean-up support

What's the difference between a coordinator and a planner? 

While planning and coordinating have some overlapping responsibilities, in general a planner spends far more time with you, creating your event from scratch. They may research, contact, vet, and book your vendors, assist with guest RSVPs and adjusting guest count planning, ensuring everything adheres to the colors/themes/creative vision of the wedding, and maintaining your budget for the overall event.

In comparison, a coordinator usually comes in closer to the event date, when the venue, catering, flowers, photographer, and other vendors have all been booked, but the event needs structure, leadership, and a lot of communication between parties. They attend your event as the leader & point of contact, keep the flow and timeline on point, tie up loose ends, and problem solve issues in real-time.

How do we add a coordinator to our Photo/Video Package?

Simply reach out to us at Lumora Studio and let us know you are interested! We'll immediately go over your needs for your day, match you with a coordinator, and add your coordinating package to your photo/video invoice! All fees can be paid in the same methods and timeline as your photo/video package balance.
